Cancellation policy

The following cancellation policy applies to all delegations, athletes, and officials participating in the 24th World University Championship Cross Country.

Its purpose is to ensure smooth organization and minimize logistical and financial disruptions in case of withdrawal. Please read the terms carefully. All cancellations or changes must be communicated in writing to wuc2026crosscountry@gmail.com.

Cancellation Conditions

In the event of a cancellation, the Organising Committee (OC) will make every effort to reassign the freed-up spots to athletes on the waiting list. However, if reallocation is not possible, the following conditions will apply:

Cancellation of Participation

  • More than 3 months before the event
    (until 14 December 2025, inclusive)
    No cancellation fee applies
  • Between 3 and 2 months before the event
    (from 15 December 2025 to 14 January 2026, inclusive)
    50% of the participation fee (calculated on 2 participation days)
    100% of any rental fees, if applicable (e.g. equipment rental)
  • Less than 2 months before the event
    (from 15 January 2026 onwards)
    100% of the participation fee
    100% of any rental fees, if applicable

Change of Arrival Date

  • More than 1 month before the event
    (until 14 February 2026, inclusive)
    Change allowed free of charge
  • Less than 1 month before the event
    (from 15 February 2026 onwards)
    → Arrival date may be postponed; however, the original arrival day will still be charged
  • After the new arrival date has been confirmed, it will not be possible to revert to the original arrival date.

This policy is in place to ensure the smooth coordination of the event and fair treatment for all delegations.
